Office Manager

Summary

The Office Manager works collaboratively with the Executive Director and Plowshares Manager to support Plowshares programs by maintaining office systems and procedures. The Office Manager assists the Leadership team to ensure the office environment is clean, efficient, professional, and welcoming to staff, volunteers, and community partners. The Office Manager under the direction of the Executive Director oversees the administration of financial operations, HR, records, customer service, marketing and payroll. The Office Manager is professional, organized, has excellent communication skills and is available to work some required weekends. The Office Manager is expected to embrace Plowshares’ mission and philosophy.

Essential Functions

  • Present an open, positive, and professional image to all guests, volunteers, co-workers and general public by displaying general warmth and kindness in a friendly, courteous and respectful manner at all times and under all circumstances.
  • Maintains office services and equipment by organizing office operations and procedures; overseeing payroll; Accounts Receivable/Accounts Payable; banking; maintaining donor and volunteer databases; controlling correspondence; designing filing systems; reviewing and ordering supplies; assigning and monitoring clerical functions; maintaining organization website, social media pages and developing and publishing monthly newsletter.

· Provide support to Plowshares board by creating board welcome packets, agendas, recording minutes as needed and preparing monthly financial reports

·   Ensure overall upkeep of the office, including maintaining office equipment such as telephone system, computers, printers and fax machine.

·   Support Executive Director and Manager including calendaring, presentation preparation, expense management, meeting coordination and external communications.

·   Liaise with various internal and external parties exercising sound judgment and discretion in dealing with highly confidential/sensitive business matters.

·   Function as a Human Resources assistant to post job announcements, coordinate interview scheduling, new hire orientation, onboarding process, administration tasks and other assignments.

  • Maintains office staff by recruiting, selecting, orienting, and training office volunteers.
  • Be available to guests, staff, volunteers, and community service workers for special requests, complaints, and solving issues.
  • Enforce Good Neighbor Policy with neighbors, guests, staff, and volunteers.
  • Assist in the coordinating and staffing of all special events and fundraisers.
  • Ability to handle large variety of details and work under pressure across all levels of organization.

Position Type/Expected Hours of Work

This is a part-time position; approximately 25 hours per week. This position may require the ability to work flexible hours and occasional Saturdays.

Preferred Education and Experience

·         High school diploma required; bachelor's degree or equivalent work experience preferred.

·          3+ years' of senior level administrative support and/or office management; experience with HR/Finance functions desired.

·         High level proficiency in Microsoft Office, Quickbooks, Excel

Meals on Wheels Program Coordinator

14.00-16.00 per hour DOQ

Summary/Objective

The Meals on Wheels Program Coordinator serves as a member of the Leadership Team and works together with that team to fulfill the mission of Plowshares. The Meals on Wheels Coordinator oversees all aspects of the Meals on Wheels program and volunteers programs including recruiting, training, scheduling, and coordinating the volunteers, program intake and enrollment processes, ordering and maintaining supplies, oversee the program within the program budget, serving on the Meals on Wheels advisory council, and working cooperatively with the Production/Facilities Manager to coordinate menus, staff, and volunteers. The Meals on Wheels Coordinator is professional, organized, has excellent communication skills, understands program budgets, is computer literate, and is available to work some required weekends and holidays. The Meals on Wheels Program Coordinator is expected to embrace Plowshares’ mission and philosophy.

Essential Functions

  1. Coordinate the Meals on Wheels Program.
  2. Coordinate the Volunteer Program
  3. Coordinate the recruitment, enrollment, training, and scheduling process for volunteers.
  4. Coordinate the enrollment, scheduling, and intake processes for recipients.
  5. Maintain detailed computer records and documentation of recipients and volunteers.
  6. Prepare written procedures for intake, ordering, route sheets, volunteer assignments.
  7. Order Meals on Wheels supplies and maintain a documented supply inventory.
  8. Oversee the program budget and prepare a monthly program report for board.
  9. Attend the annual board retreat and all required trainings.
  10. Serve on the Meals on Wheels Advisory Council
  11. Attend volunteer recruitment fairs, events, and training.
  12. Coordinate and train the Meals on Wheels volunteers and staff.
  13. Coordinate the Volunteer Appreciation Events.
  14. Provide monthly program training for staff and volunteers.
  15. Serve as Plowshares’ representative and liaison.
  16. Assist in the coordination of meal planning and preparation.
  17. Be available to guests, staff, volunteers, and community service workers for special requests, complaints, and solving issues.
  18. Ensure that facilities are safe, clean, and in compliance with Health and Safety regulations.
  19. Enforce Good Neighbor Policy with neighbors, guests, staff, and volunteers.
  20. Immediately file written report of all incidents and provide to Executive Director.
  21. Assist in the coordinating and staffing of all special events and fundraisers.
  22. Work occasional weekends and/or holidays as required.

Program Assistant II

Salary Range: $12.00-$14.00

Hours: 25 hours/week, typically 8:00 am – 1:00 pm

Summary/Objective

The Program Assistant collaboratively works with the Leadership Team and Plowshares’ staff, volunteers, and community service workers to ensure the Plowshares dining hall, grounds, kitchen, personal care center, and community room are clean and well-maintained, and nutritious meals are prepared and served. The Program Assistant may serve as “lead” team member and guide volunteers and community service workers in required tasks. The Program Assistant may serve as Plowshares Driver. The Program Assistant is professional, organized, has good communication skills and is available to work some required weekends and holidays. The Program Assistant is expected to embrace Plowshares’ mission and philosophy.

Essential Functions

  4. Drive the Plowshares’ van to pick up and deliver food.
  5. Assist in the coordination of meal planning and preparation.
  6. Lead volunteers and community service workers in daily cleaning, meal preparation, and serving.
  7. Be available to guests, staff, volunteers, and community service workers for special requests, complaints, and solving issues.
  8. Assure that facilities are safe, clean, and in compliance with Health and Safety regulations.
  9. Enforce Good Neighbor Policy with neighbors, guests, staff, and volunteers.
  10. Immediately report all incidents to member of Leadership Team.
  11. Assist in the coordinating and staffing of all special events and fundraisers.
  12. Work occasional weekends and/or holidays as required.
